Electronic Records Format Migration

1. Timing of migration: migration is performed whenever the existing format becomes obsolete, or whenever demanded by regulations or applications.

2. Migration scope: includes TIFF to JPEG, JPEG to TIFF, TIFF to PNG, TIFF to PDF/A,GIF to PNG, LEH to TIFF, PCD to JPEG, PDF to JPEG, DOC to ODT, DOC to PDF/A,DOCX to PDF/A,WDL to PDF/A, POSTSCRIPT to PDF/A, EML to PDF/A,XLS to PDF/A, PPT to PDF/A, MP3 to WAV, MPEG-2 to H.264, WMV to MPEG-2 and electronic record encapsulation, XLSX to PDF/A, PPTX to PDF/A, DOCX to TIFF, XLS to ODS, XLSX to ODS, PPT to ODP, PPTX to ODP, snapshot image of original document to JPEG.

3. Format migration method: electronic records that are subjected to migration are processed using PEARS (Preserving Electronic Archives & Records Suite) or Shared Component Library into formats that conform to Addendum 8 of "The Regulation".
